Paid Time Off (PTO)

At HSHS colleagues are encouraged to take time away from work in an effort to have a healthy work life balance.

To support that expectation, all regular status colleagues budgeted to work at least 32 hours per pay period are eligible for Paid Time Off (PTO) benefits. Paid Time Off combines vacation, individual sick days, holidays, and personal days into one account. The purpose of PTO is to give you maximum flexibility in scheduling time away from work.

Management and non-management colleagues who are benefit eligible are able to elect to Cash-In up to 40 hours of PTO during annual enrollment. See below for more information.

Accrual of PTO is based upon length of continuous service and actual hours paid, up to 2080 hours per payroll calendar year. Part-time colleagues accrue PTO on a pro-rated basis, based on hours paid per year. PTO is accrued on: straight time, overtime, premium pay, on call time worked, bereavement, PTO, OWB, and Jury Duty. Upon reaching a PTO balance of two times the annual accrual rate, the colleague stops accumulating PTO hours until some PTO is used. See below for more information.

Salaried colleagues have the option of taking PTO in 1/2 day increments based on your regularly scheduled day (4, 4 1/2, 5 hours) and hourly colleagues may take PTO in increments of a quarter of an hour.

Paid Time Off (PTO) Details

During annual enrollment, all management and non-management colleagues regularly scheduled (budgeted) to work at least 32 hours per pay period can declare the number of PTO hours to cash in during the calendar year - up to a maximum of 40 hours. Physicians are not eligible to cash-in PTO. By making this declaration during annual enrollment, you will receive the PTO hours you cash in at 100% of your straight time rate of pay. Keep in mind that:

  • You may only request payment for hours that will accrue in 2025.
  • You cannot cancel your 2025 PTO cash-in declaration after 2025 annual enrollment ends.

If you are going to transfer to another HSHS facility or move to a management position that is not qualified to cash in PTO at 100%, you will need to request payment for PTO hours before you transfer or move to the new position.
 

How the Cash-in Policy Works

During annual enrollment for 2025, if you declare that you will cash in: Based on IRS guidelines, you will be paid: For example:
Up to 40 of the PTO hours you will accrue in 2025 100% of your straight time rate of pay for the number of hours you declare If you declare 40 PTO hours, you will be paid 100% of your straight time rate of pay for 40 PTO hours in 2025.
Less than 40 PTO hours 100% of your straight time rate for the number of hours you declare If you declare 30 PTO hours, you will be paid 100% of your straight time rate of pay for 30 PTO hours.

If you don't make a request for payment for these hours, an automatic payment will be processed by HSHS for the second pay period in October 2025.
